Terms and conditions

Version 1.1 — 9 October 2026

1. About SoloTeamCup and these terms

SoloTeamCup operates as a sole trader and provides an online tool for preparing and running tournaments and displaying the results. You can buy tournament credits to use the service. SoloTeamCup does not sell physical products.

Our business details are on the Contact and company details page. Email support@soloteamcup.com with questions, complaints or requests.

These terms apply to credit purchases and use of the service by customers, organisers and co-organisers. A consumer buys for purposes outside their trade or profession. Different legal rules may apply to clubs and other organisations; the name on an account does not, by itself, determine whether someone is a consumer.

You can read and save these terms on the website. The version applicable to your purchase remains the starting point for that purchase, subject to section 15. Specific arrangements in the offer or order confirmation take precedence over general provisions. Mandatory statutory rights always apply.

2. What you are buying

One paid credit lets you use one paid tournament: start it, play it, complete it and view the results within SoloTeamCup's stated features and the retention arrangements in section 9. A pack contains one or three credits, as shown when you buy it. A free test tournament and preparing a draft do not use a paid credit.

The offer explains the features and limitations relevant to your choice, the price, the number of credits and the technical requirements. A credit is not a subscription with recurring payments.

SoloTeamCup provides the software. The organiser arranges the actual sporting activity, including participants, the venue, supervision, safety and rules. SoloTeamCup does not organise the event or guarantee a particular sporting outcome.

3. Ordering, prices and payment

Before you complete your order, you see what you are buying and the total price, including applicable taxes and any additional charges. No mandatory charges will be added unless they were disclosed beforehand.

Check the details you enter, especially the email address you will use to gain access. The contract is formed when you complete the order with an obligation to pay and SoloTeamCup confirms it electronically. Your confirmation includes the relevant purchase information by email.

Payment is made using one of the methods offered. Credits become available once payment has been confirmed. If your payment has gone through but your credits are missing, contact support and include your order number if possible. A processing delay is not a reason to pay again without first checking.

A price change for new purchases does not change the number or operation of credits you have already bought. If we suspect an error in your order, we will contact you rather than change it without telling you.

4. Accounts and access

You use an account to manage and use credits and tournaments. Access is through a single-use login link sent to your email address. Keep your mailbox secure and do not pass a personal login link to anyone else.

Use accurate account details and tell support promptly if you suspect misuse or have entered the wrong email address. SoloTeamCup investigates requests to restore access and may ask for suitable information to establish that an account or purchase belongs to you.

Anyone buying or acting on behalf of a club or another organisation must have authority to do so. Minors need permission from a parent or legal representative where the law requires it.

5. Credits and starting a tournament

Paid credits have no standard expiry date. They remain available while SoloTeamCup provides the service, except following a valid refund, account deletion that you have confirmed, or another legally justified adjustment. Section 13 explains what happens when the service ends.

Only the owner can start a paid tournament and use a credit for it. Starting the tournament permanently uses one credit. Before starting, you are told about the credit being used and actively confirm the start. Section 6 explains the consequences for refunds.

Under our voluntary policy, deleting, interrupting or leaving a started tournament unfinished does not restore a credit. If there is a verifiable system fault before the first round, support may make a credit adjustment that is recorded and traceable. Your statutory rights if the service is faulty or not provided still apply.

6. Cooling-off period and refunds

Consumers generally have a statutory cooling-off period of 14 days for an online purchase, beginning on the day after the contract is formed. You can withdraw during that period without giving a reason. A longer period may apply if legally required information has not been provided.

You can withdraw by emailing a clear statement to support@soloteamcup.com or using the model withdrawal form in our refund policy. The online withdrawal facility is not yet available. This does not limit your right to withdraw; you can submit your request by email.

If you withdraw as a consumer during the statutory cooling-off period, we refund the full purchase price, even if you have already used one or more credits. This also applies to a three-credit pack. We do not deduct a charge for use or claim that starting or completing a tournament ends your right to withdraw. Support acknowledges receipt and handles refunds manually.

We voluntarily offer clubs and other business customers a full refund if they request it within 14 days of purchase and have not used any credits from that purchase. Once the first credit has been used, this voluntary business refund arrangement ends.

After 14 days, we do not offer voluntary refunds for unused credits. This does not limit statutory rights, including any longer statutory cooling-off period.

The full arrangements, model form and refund method are in Cooling-off period, cancellation and refunds. These terms and that policy apply together. Any difference between them cannot limit a customer's mandatory statutory rights.

7. Organisers and co-organisers

The organiser checks the participant names, tournament settings, scores and results and decides who may take part. Before playing, check that the settings and participants are right for the tournament you want to run.

You can invite a co-organiser using the feature provided. They receive access within the permissions offered. Use the correct email address and invite only someone authorised to perform that role. Co-organisers must also use the service in accordance with these terms.

You must not use the service to access data without authorisation, disrupt its operation, bypass security or upload unlawful content. A mistake by an organiser or co-organiser is not automatically treated as a SoloTeamCup system fault; we will investigate the cause.

8. Participant information and public links

The organiser decides which participant information to enter and share. They must have a valid legal basis and inform participants and, where necessary, their parents or guardians. Enter only information needed for the tournament. You must also have the right to use any logo or other material you upload.

A public presentation link may show participant names, schedules, scores and standings to anyone who has it. The organiser decides whether to share it and with whom. It is valid for no more than seven days and can be revoked earlier. It can still be forwarded; measures against search engine indexing do not make it private.

The privacy policy explains how information is processed. Where SoloTeamCup processes participant information on behalf of an organiser or organisation acting as the data controller, the instructions and GDPR arrangements must be recorded separately in data processing terms. These general terms do not replace those arrangements.

Content you enter remains yours or belongs to the relevant rights holder. SoloTeamCup may process and display it to provide, protect and support the service and carry out your sharing choices. This does not give SoloTeamCup a general right to use participant information for its own advertising.

9. Keeping and deleting tournaments

You can delete a tournament through the tournament tool. Automatic deletion of tournaments based on retention periods is currently inactive. Credits with no expiry date do not give you a right to indefinite storage of tournament information. If automatic deletion is introduced, we will inform you beforehand about the periods and your opportunity to save results, subject to section 15 and your statutory rights.

Save any results you need using the available print feature. This does not provide a complete data export. Send requests about your personal data to support@soloteamcup.com.

The privacy policy also explains the rules for accounts, financial information and backups. Deletion from the active system does not mean immediate deletion from every secure backup. SoloTeamCup does not have an unrestricted right to delete information outside the agreed periods or legal obligations.

10. Availability, maintenance and changes to the service

You need a suitable browser, an internet connection and access to your email to use the online service. Specific requirements and relevant limitations must be clear before purchase. This section alone is not a basis for blaming a fault on your device or connection.

SoloTeamCup maintains and protects the service and provides the updates needed for it to work as agreed. Maintenance or a fault may temporarily interrupt access. Where reasonably possible, we tell users beforehand about maintenance that will noticeably affect their use.

We may improve or change the service for security, legal requirements or necessary technical changes. This does not allow us simply to reduce the agreed service or statutory rights. A change that adversely affects use by more than a minor amount is subject to the statutory rules on information, advance notice and any right to end the contract. The fact that credits do not expire does not replace those rights.

11. Faults and failure to provide the service

Tell support about a problem and describe what happens. Where possible, identify the account, order number and tournament involved, without sending personal login links.

SoloTeamCup investigates the problem and provides an appropriate remedy for a fault under the contract and the law. Where possible, we fix it free of charge within a reasonable time. If it cannot be fixed, or you cannot reasonably be expected to wait for a fix, statutory rights to a price reduction, termination of the contract or a refund may apply.

A customer does not have to accept a credit adjustment instead of a statutory right to a refund. A fault at a hosting or payment provider does not automatically exclude SoloTeamCup's responsibility.

12. Responsibility and loss

SoloTeamCup is responsible for meeting its own obligations. The organiser is responsible for organising the sporting tournament and for using and sharing information within their authority.

If loss occurs, we assess the cause, any failure to meet obligations and the applicable legal rules. SoloTeamCup compensates for loss for which it is liable under those rules.

13. Restricting access, account deletion and closing the business

Where there is specific misuse, a security incident or a legal obligation, SoloTeamCup may restrict the relevant access. Any measure is limited to what is necessary. Where possible, we explain the reason, give an opportunity to put matters right and provide a way to contact us. An immediate risk may require immediate action. A restriction does not automatically invalidate paid credits.

You can ask support to delete your account. If you have unused paid credits, you separately and expressly confirm that they will be forfeited. Account deletion does not automatically withdraw from a purchase. A withdrawal request made in time is handled under section 6. Statutory record-keeping requirements still apply.

If SoloTeamCup permanently stops providing the service, we give advance notice where reasonably possible and stop selling new credits in good time. Where possible, you have an opportunity to use your credits. SoloTeamCup does not offer voluntary refunds in that situation, but must honour any statutory rights to performance, a price reduction, termination of the contract or a refund. This also applies to unused credits.

14. Complaints and disputes

Email complaints to support@soloteamcup.com and explain the outcome you are seeking. SoloTeamCup handles complaints carefully. If we cannot resolve one straight away, we tell you how it will be handled further.

Dutch law applies to the contract. A consumer living in another country retains any mandatory protections that apply under the applicable law. You retain access to the court that has jurisdiction under the law.

Consumers can find information and help in deciding their next step at ACM ConsuWijzer.

15. Changes to these terms

SoloTeamCup may publish new terms for new purchases. These do not automatically change earlier purchases. Changes to existing arrangements are permitted only within the law, for example where changes in legislation or necessary security measures require them.

We tell affected users beforehand about a relevant change and make the new text available in a form they can save. Statutory rights to reject an adverse change or end the contract still apply. Simply putting a new version on the website does not amount to agreement to every change.

An invalid provision will not be applied. The rest of the contract continues to apply to the extent that it can remain in effect without that provision.
